Requirements
- Have 10+ years of experience supporting C-suite executives.
- Manage high-volume calendars, complex travel arrangements, shifting priorities, and time-sensitive requests under pressure.
- Demonstrate exceptional attention to detail and accuracy across scheduling, travel, expenses, executive materials, and confidential information.
- Use strong judgment, discretion, and professionalism when handling sensitive business matters.
- Have excellent written and verbal communication skills for interactions with senior executives and internal stakeholders.
- Work independently, anticipate needs, prioritize effectively, and solve problems proactively.
- Have strong organizational and project management skills and manage multiple priorities simultaneously.
- Be proficient with Google Workspace, Microsoft Office, or comparable productivity platforms, and able to learn new systems quickly.
- Be familiar with AI productivity tools such as ChatGPT or Claude.
- Be comfortable working remotely with autonomy and accountability.
- Accommodate occasional evening, weekend, or off-hours support when business priorities require it.
- Previous experience supporting executives in a public company environment is a plus.
Responsibilities
- Serve as the primary Executive Assistant to the CEO and provide support to other senior leaders as needed.
- Manage complex calendars across multiple time zones, resolving conflicts and prioritizing competing demands.
- Coordinate domestic and international travel and help maintain travel policies.
- Own Travel & Expense processes, including preparation, submission, tracking, reconciliation, and follow-up.
- Plan and coordinate conferences, corporate events, and executive gatherings, including logistics and on-site support.
- Coordinate board meeting agendas, presentations, schedules, materials, and supporting documentation.
- Anticipate executive needs, identify risks or opportunities, and recommend practical solutions.
- Handle confidential and sensitive business information with discretion and sound judgment.
- Provide occasional evening and weekend coverage for urgent or time-sensitive priorities.
- Support corporate offsites and events, including travel when required, and take ownership of ad hoc projects and cross-functional initiatives.
