Requirements
- Be bilingual in English and Spanish.
- Have at least 2 years of experience supporting a U.S.-based medical practice.
- Have strong inbound and outbound phone experience.
- Have medical appointment scheduling experience.
- Have strong patient/customer service, organizational, and follow-up skills.
- Be able to communicate with patients by phone and handle calls professionally.
- Be able to handle confidential patient information and understand HIPAA and patient confidentiality.
- Be comfortable making outbound calls to patients, attorneys, providers, and insurance companies.
- Personal Injury medical office experience is strongly preferred.
- MedPay, attorney lien/LOP, insurance verification or coordination, and Workers' Compensation experience are strongly preferred.
- Experience obtaining claim or case numbers and communicating with adjusters or Personal Injury attorneys is strongly preferred.
- Chiropractic office, medical records, referral coordination, DOT examination, lead generation, or business development experience is preferred.
- Experience with ChiroTouch Cloud or RingCentral is preferred.
- Be available for a full-time, 40-hour-per-week schedule, Monday–Friday with Saturday morning coverage.
Responsibilities
- Assist with intake and coordination of new Personal Injury patients.
- Collect and document accident, attorney, insurance, claim, and case information, including available MedPay details.
- Contact attorneys, law offices, insurance companies, adjusters, medical providers, and referral sources to obtain and follow up on information and documentation.
- Track incomplete case files, missing information, records, referrals, and outstanding insurance details.
- Handle inbound and outbound calls, respond to new-patient inquiries, and schedule patients, prioritizing Personal Injury referrals.
- Follow up with patients and leads, including missed calls and DOT examination inquiries, to convert inquiries into scheduled appointments.
- Maintain accurate patient, insurance, case, and lead documentation in the appropriate system.
- Escalate coverage, authorization, liability, or billing issues to the appropriate practice member.
- Support referral outreach and business-development initiatives, particularly for DOT examinations.
