Requirements

  • Have previous experience in quality assurance, quality control, healthcare administration, operations, data management, CRM administration, coordination, or a similar role.
  • Have experience working with CRM systems, databases, or other information-management platforms.
  • Demonstrate strong attention to detail and the ability to identify missing, incorrect, or inconsistent information.
  • Have strong organisational, follow-up, data-capturing, and administrative skills.
  • Be able to manage multiple cases, tasks, and follow-ups while maintaining accurate records.
  • Be able to work systematically, independently, and take ownership of assigned tasks.
  • Have strong written and verbal English communication skills.
  • Be comfortable with repetitive processes and a primarily admin-facing role.
  • Have a fixed fibre line with a minimum speed of 25 Mbps upload and download, and support for a wired Ethernet connection.
  • Have a reliable power backup solution for load shedding and power outages.
  • Be available Monday–Friday, 3:00 PM–00:00 AM SAST, subject to daylight saving time.

Responsibilities

  • Follow up with local U.S. offices after client assessments for outcomes, next steps, and start-of-care updates.
  • Monitor post-assessment cases and follow up on outstanding information so no lead, case, or next step is missed.
  • Update HubSpot and internal CRM systems with assessment outcomes, client decisions, workflow stages, and notes.
  • Maintain accurate and current records across relevant systems.
  • Review information for accuracy, completeness, and consistency, and identify missing or incorrect details.
  • Communicate with U.S. office teams by email, phone, and internal systems.
  • Contact clients when assigned to gather feedback and communicate it internally.
  • Escalate discrepancies, missing information, or concerns that require clarification.
  • Track recurring issues and identify opportunities to improve workflow, data quality, and follow-up processes.
