Requirements
- Have 2+ years of experience in Accounts Receivable, Billing, or a related finance role.
- Demonstrate advanced proficiency with Excel, including complex formulas, LOOKUP functions, PivotTables, and SUMIF.
- Have familiarity with subscription-based service contracts.
- Have experience with vendor portals and payment platforms.
- Understand basic accounting principles and billing best practices.
- Handle sensitive information with integrity and confidentiality.
- Be comfortable working in a fast-paced, collaborative SaaS environment.
- Experience with NetSuite, Tesorio, Maxio, Salesforce (SFDC), and Avalara is preferred.
- Have basic knowledge of AI tools and willingness to adopt them for process efficiency.
Responsibilities
- Manage the shared billing inbox and respond to billing inquiries within established SLAs.
- Coordinate customer billing setup, complete vendor forms and portal setups, and maintain billing contacts.
- Submit invoices to customer portals in the required formats and follow up on outstanding invoices by phone and email.
- Monitor assigned accounts, identify and escalate payment issues, and maintain collection notes.
- Prepare aging reports, flag at-risk accounts, and support account escalations.
- Apply payments, credit memos, and rebills; reconcile accounts and correct discrepancies.
- Manage overpayments and communicate with cancelled customers about refund information.
- Oversee dunning automation for assigned accounts and support bad debt reserves and write-offs.
- Provide monthly updates on high-priority accounts for senior leadership review.
