Requirements

  • Have direct experience as an Executive Assistant or Administrative Assistant supporting a senior executive.
  • Experience supporting a founder or CEO in a startup environment is strongly preferred.
  • Have strong written and verbal English communication skills.
  • Be highly organized, with strong prioritization and time management.
  • Be comfortable with ambiguity, changing priorities, and a fast pace.
  • Be proactive and resourceful, able to anticipate needs and act independently.
  • Use sound judgment and discretion with sensitive information.
  • Be proficient with common calendar, email, and productivity tools.
  • Have a primary internet connection with a minimum speed of 15 Mbps and a backup connection of at least 10 Mbps capable of supporting work during a power outage.
  • Use a desktop or laptop with an Intel Core i5 (8th generation or newer), Intel Core i3 (10th generation or newer), AMD Ryzen 5, or equivalent processor, and at least 8 GB RAM.
  • Have a backup device that meets or exceeds an Intel Core i3 processor and works during power interruptions.
  • Have a functioning webcam, noise-canceling USB headset, quiet dedicated home office space, and smartphone.

Responsibilities

  • Manage the CEO’s calendar, scheduling, and meeting coordination with internal and external stakeholders.
  • Monitor the inbox, flag priorities, and help manage routine correspondence.
  • Track action items, deadlines, and follow-ups across open workstreams.
  • Prepare agendas, briefing notes, and materials ahead of meetings.
  • Triage and prioritize incoming requests based on the CEO’s goals.
  • Coordinate travel and logistics as needed.
  • Organize documents, files, and internal information.
  • Support ad hoc projects and administrative needs as the business evolves.
  • Handle confidential information with discretion.
