Requirements

  • Have 3+ years of experience as an executive assistant supporting VP/C-level executives.
  • Have prior experience supporting a CTO, CPO, or other technology-adjacent team.
  • Be proficient with Google Workspace, including Sheets, Forms, Docs, and Drive.
  • Be proficient with MS Outlook/Exchange, Slack, and Zoom.
  • Have experience with Navan and Ramp for travel and expense operations.
  • Be familiar with Guru, Claude/AI tooling, Lattice, and Gong.
  • Communicate directly, clearly, and proactively across organizational levels.
  • Be highly organized, detail-oriented, and skilled at calendar prioritization.
  • Be able to navigate matrixed organizational structures.

Responsibilities

  • Manage the CTO’s complex calendar, balancing shifting priorities, strategic working blocks, and urgent requests.
  • Provide calendar and operational support to senior R&D leaders, including VPs, EVPs, and the Chief Architect.
  • Coordinate leadership meetings, prepare agendas, take notes, and follow up on action items.
  • Add relevant background context to executive 1:1 meeting descriptions.
  • Book and manage the CTO’s travel through Navan and process expense reports in Ramp in accordance with company policy.
  • Track annual training allocations, per-person travel budgets, and offsite Budget vs. Actual trackers.
  • Coordinate the weekly Friday Demo Day program, including rotation calendars and presenter announcements.
  • Administer recurring recognition programs, including submissions, voting tallies, and reward tiers.
  • Coordinate conference and leadership offsite logistics, attendee tracking, team mapping, badges, and vendor or deposit payments.
  • Manage shared Google Drive and Outlook groups, new-hire access workflows, and quarterly access audits across Slack, Google, and Exchange.
