Requirements
- Have 1–3 years of relevant experience as an Executive Assistant, Administrative Assistant, or in a similar role supporting a business owner, executive, or senior leader.
- Have hands-on experience using AI tools for real business or administrative work.
- Demonstrate strong project coordination, organization, and task-management skills, with the ability to follow work through to completion.
- Manage competing deadlines and priorities while maintaining attention to detail.
- Create clear, polished slide decks and deliver effective presentations.
- Have excellent written English and the ability to communicate professionally in another person’s voice.
- Exercise discretion and sound judgment, including knowing when to act independently and when to escalate.
- Work independently while communicating proactively and consistently with the practice owner.
- Be proficient with Google Workspace or Microsoft 365.
- Complete required confidentiality and compliance training before starting.
- Have a reliable home-office setup and stable internet suitable for secure, HIPAA-compliant remote work.
- Experience with ChatGPT or Claude is preferred; healthcare practice experience and familiarity with Canva, HIPAA requirements, EMR or CRM platforms, and Asana or Monday.com are advantageous.
Responsibilities
- Manage the practice owner’s calendar, including time blocking, meeting confirmations, appointments, and travel coordination when applicable.
- Triage the owner’s inbox, draft communications, handle routine requests, and escalate decisions or urgent matters appropriately.
- Use AI tools to prepare email drafts, calendar summaries, agendas, reports, and other materials, reviewing generated content before sharing.
- Maintain a task tracker and follow commitments, owners, deadlines, and follow-ups through completion.
- Coordinate projects across the owner, staff, patients or clients, and vendors, and monitor milestones.
- Prepare meeting agendas, presentations, slide decks, and recaps with assigned action items.
- Provide daily and weekly summaries of priorities, progress, outstanding items, and completed work.
- Gather and validate information from CRMs, EMRs, spreadsheets, and other systems for reporting.
- Support practice workflows such as patient and client follow-up, referrals, scheduling, invoices, PTO tracking, vendor coordination, and compliance reminders.
- Create and maintain SOPs, improve workflows, and protect patient, staff, and business information in accordance with HIPAA requirements.
