Requirements

  • Healthcare background with direct experience in a clinical, medical practice, or patient-facing healthcare setting.
  • Experience in a virtual care practice, telehealth, or a healthcare contact center environment.
  • Minimum of 3 years of people leadership experience managing supervisors or team leads in a clinical or high-volume service setting.
  • Proven ability to manage multiple concurrent workflows and handle real-time staffing decisions.
  • Experience with staff retention and reducing attrition in a remote or high-volume environment.
  • Proficiency with electronic health records (EHR), practice management systems, and telehealth platforms.
  • Strong data skills including the ability to build and read operational reports in Excel.
  • Understanding of HIPAA, patient privacy, and healthcare compliance in a remote setting.
  • Availability to support extended hours, including weekend and holiday coverage on a rotating basis.
  • Reliable internet connectivity and a secure, private home workspace.
  • Must have a Windows or macOS computer meeting specific hardware requirements (16GB RAM, Intel i5/AMD equivalent or Apple Silicon).

Responsibilities

  • Run daily practice operations from open to close, ensuring all scheduled patients are seen.
  • Monitor appointment activity and resolve issues such as missed visits or technology outages in the moment.
  • Execute and adjust staffing plans, including managing break times and reassigning staff to meet demand.
  • Oversee patient access channels including inbound calls, outbound outreach, and text messaging.
  • Maintain daily and weekly performance reporting and identify areas for operational improvement.
  • Lead, develop, and hold accountable a team of supervisors.
  • Ensure workflows meet clinical standards, HIPAA, and health plan requirements.
  • Participate in interviewing, selection, and onboarding for the practice.
