Requirements

  • At least three years of professional experience, including experience in a nonprofit environment; grants management, philanthropy, or a related field is preferred.
  • Strong proficiency with Google Workspace, including Docs, Sheets, Calendar, and Drive, as well as video conferencing platforms such as Zoom.
  • Experience coordinating complex, collaborative projects and managing multiple priorities, deadlines, and stakeholders.
  • Strong written and verbal communication skills combined with excellent customer service and interpersonal abilities.
  • Highly collaborative approach with a partnership mindset and the ability to work effectively across teams and with external organizations.
  • Resourceful, proactive, and creative problem-solving skills, with the ability to navigate evolving processes and a changing operational environment.
  • Experience with philanthropic organizations, fiscal sponsors, nonprofit intermediaries, funder collaboratives, or other grantmaking environments is desirable.
  • Familiarity with grants management systems and processes, particularly Fluxx, is an advantage.
  • Understanding of the financial and regulatory environment affecting nonprofit and philanthropic organizations is a plus.
  • Experience working with colleagues and stakeholders from diverse backgrounds and perspectives, with an appreciation for rural communities and cultures.
  • Experience living or working in rural America is strongly preferred.
  • A demonstrated commitment to racial justice and equity.

Responsibilities

  • Support grantees and internal teams throughout the complete grants management lifecycle, from invitation and onboarding through final closeout.
  • Create and maintain contact, organization, grant, and other records, ensuring information remains accurate and up to date.
  • Track narrative and financial reports, follow up on outstanding documentation, and help maintain grantmaking timelines.
  • Determine grantee eligibility and support due diligence activities in coordination with relevant teams.
  • Provide technical support to staff and grantees using the Fluxx grants management system and assist with training on relevant technology, policies, and procedures.
  • Develop templates, tools, dashboards, and recurring processes that improve the efficiency and consistency of grants management activities.
  • Coordinate proactively with grants management colleagues, program leads, and external partners to keep workflows and reporting requirements on track.
  • Prepare grant data reports and materials for staff, boards, committees, and strategic partners as needed.
