Requirements
- 2–4+ years of experience in healthcare operations, medical scheduling, clinic coordination, or high-volume virtual operations support.
- High comfort level with Electronic Medical Records (EMR) software (Athena preferred).
- Proficiency with communication tools (Slack/Teams).
- Expertise in spreadsheet and data management.
- Ability to support a flexible operational schedule, including evenings, weekends, and rotating on-call coverage.
- Exceptional verbal and written communication skills.
- Ability to navigate sensitive healthcare conversations with professionalism.
- Successful completion of a standard healthcare background check and credentialing verification.
Responsibilities
- Manage day-to-day scheduling, rescheduling, and PTO tracking for providers.
- Serve as central air traffic control for provider call-outs to ensure schedule coverage.
- Act as the first line of defense for non-clinical patient complaints and log tracking data.
- Route non-clinical crises to appropriate leaders.
- Coordinate meetings, manage IT requests, and update internal FAQs for leadership.
- Compile operational reports and data to assist leadership in decision-making.
- Collaborate with teammates to establish shift and specialty coverage as volume grows.
