Requirements
- 3–9 years of relevant experience supporting an executive, senior leadership team, or complex cross-functional organization.
- Ability to independently manage and prioritize a high-volume daily workload with minimal supervision.
- Sound judgment regarding independent issue resolution and when to escalate sensitive blockers.
- Excellent written and verbal communication skills with a focus on clear status reporting and documentation.
- Confidence working with senior leaders, including the ability to provide pushback and clarify expectations.
- Proactive mindset with the ability to identify and address organizational inefficiencies.
- Strong interpersonal skills to build trust and enforce meeting structures.
- High degree of discretion when handling confidential information.
- Experience working in a fast-paced, remote environment.
- Systems thinking ability with a focus on simplifying work processes.
- Desired: Experience improving team operating rhythms or cross-functional workflows.
- Desired: Familiarity with Google Workspace, Slack, and Asana or similar tools.
Responsibilities
- Manage the COO’s calendar and inbox by triaging messages and surfacing priorities.
- Coordinate scheduling, meeting preparation, and follow-ups for the COO.
- Monitor internal Slack channels to route questions and track resolutions.
- Facilitate recurring meetings by developing agendas, circulating materials, and tracking action items.
- Evaluate and optimize meeting cadence to eliminate duplication and protect team focus time.
- Document key decisions and follow-ups to ensure cross-functional alignment.
- Partner with GTM leaders to refine team operating rhythms and communication patterns.
