Job Details

1-2+ years in travel operations, hospitality administration, or client coordination.
Experience managing detailed records across multiple systems.
Proficiency in creating or managing invoices using platforms like FreshBooks or QuickBooks.
Experience verifying or reconciling payments across card, bank transfer, and digital platforms.
High attention to detail and accuracy across multiple tools simultaneously.
Strong, professional written communication skills for client-facing messages.
Ability to manage multiple tasks under pressure during busy shifts.
Nice to have: Familiarity with itinerary-building tools like Travefy, Axus, or TravelJoy.
Nice to have: Background in luxury hospitality or high-touch client service.
Nice to have: Experience with task management or CRM tools like Asana.
Nice to have: Working knowledge of travel-specific identifiers like Known Traveler Numbers or Frequent Flyer Numbers.

Create or update full trip records in the client management system, including flight details, passenger information, and preferences.
Prepare invoices using FreshBooks following Team Lead instructions and hold for approval.
Send approved itineraries and invoices to clients with professional communication via Periskope.
Coordinate additional services such as airport transfers, seat selections, or special meal preferences.
Verify receipt of payments across multiple channels including credit cards, bank wires, PayPal, and cryptocurrency.
Maintain real-time accuracy across billing and management systems, ensuring no task remains unactioned for more than 30 minutes.
Escalate payment discrepancies or data mismatches immediately to the Team Lead.
