Requirements
- 3+ years of experience in order management, operations coordination, or related administrative roles.
- Strong organizational skills and high attention to detail regarding financial documents, UPC data, and carton specifications.
- Proficiency in Excel or Google Sheets for tracking, data entry, and document management.
- Experience working with Accounting and Finance teams on payment workflows and invoice submission.
- Ability to collaborate with international teams, vendors, manufacturers, or external partners across multiple regions.
- Strong written communication skills for professional follow-ups.
- Ability to work on US time zones with potential for shifting schedules.
- Familiarity with retail compliance, UPC setup, or GS1 standards is a plus.
- Ability to work independently and make sound operational judgments with minimal direction.
Responsibilities
- Receive and review order details, placing purchase orders with factories within defined SLAs.
- Manage payment workflows by submitting Proforma Invoices to Accounting and tracking deposit status.
- Ensure accuracy of UPC and master carton markings through coordination with factories and logistics partners.
- Monitor shipping arrangements with Freight Forwarders to ensure on-time product release.
- Collaborate across Planning, Accounting, and logistics teams to identify and resolve operational risks or process gaps.
- Drive continuous improvement of operational workflows to support business scaling.
