Requirements

  • 1–2 years of experience in administrative, operations, or coordination support roles.
  • Extremely organized with the ability to manage tasks without letting details fall through the cracks.
  • Detail-oriented with a practice of double-checking work before submission.
  • Strong written communication skills in English.
  • Comfortable with Google Sheets, including building trackers, using formulas, and presenting data.
  • Proactive problem-solving abilities with a focus on suggesting solutions.
  • Discreet with the ability to handle sensitive financial, HR, and personal data.
  • Self-managed with the ability to prioritize and execute tasks without constant supervision.
  • Ability to learn quickly and document processes for independent replication.
  • Proficiency in tools including Asana, Google Workspace, Workable, Stessa, QuickBooks Online, Slack, and Zoom.

Responsibilities

  • Manage G-Drive folder organization, document naming, and version control.
  • Update and maintain the Asana Operations Task Board.
  • Coordinate system access for tools including Fathom, ClickFunnels, and QuickBooks.
  • Handle QuickBooks Online admin tasks, basic data entry, and organize financial records.
  • Calculate and track the CEO's time burn rate and manage financial trackers.
  • Screen resumes in Workable, conduct phone screens, and maintain recruitment reporting.
  • Support onboarding and offboarding logistics for new hires.
  • Track rental income, coordinate property maintenance, and log expenses in Stessa.
