Requirements
- Minimum 3 years of experience as an Executive Assistant, Project Manager, or in a hybrid operational coordination role.
- Strong ability to manage multiple priorities, projects, and executive-level tasks simultaneously.
- Advanced proficiency in Google Workspace and strong adaptability to tools such as CRM systems and project management platforms (Asana, Monday, ClickUp, or similar).
- Excellent written and verbal communication skills with the ability to tailor messaging across all organizational levels.
- Highly organized, detail-oriented, and capable of anticipating needs before they arise.
- Strong problem-solving mindset with a proactive and process-driven approach to work.
- Proven ability to maintain confidentiality and handle sensitive business information with discretion.
- Comfortable working in fast-paced, high-demand environments requiring flexibility and accountability.
Responsibilities
- Manage complex C-suite calendars, prioritizing high-impact meetings and ensuring leaders are fully briefed and prepared.
- Act as a communication hub for executives, filtering requests, coordinating responses, and gathering critical stakeholder information.
- Oversee the full lifecycle of internal projects, tracking milestones, deadlines, and ensuring accountability across teams.
- Drive operational execution by ensuring workflows remain organized, structured, and aligned with business priorities.
- Handle executive administrative functions including document management, filings, coordination of approvals, and confidentiality-sensitive tasks.
- Conduct research and synthesize findings into clear, actionable insights for strategic and operational use.
- Identify and implement process improvements across tools such as Google Workspace and project management platforms.
- Maintain strong communication with clients and internal stakeholders regarding updates, priorities, and project progress.
