Requirements

  • Proven experience as a Legal Assistant, Paralegal, or File Clerk.
  • High proficiency in Zoho CRM.
  • High proficiency in Microsoft 365 Suite (SharePoint, OneDrive, Teams, Excel).
  • Exceptional verbal and written English communication skills.
  • Discipline to adhere to Pacific Time business hours.
  • High attention to detail regarding data and filing accuracy.
  • Ability to work as an accountable virtual assistant.
  • Experience managing high-volume data cleanup or migration within Zoho CRM (preferred).
  • Expertise in Microsoft SharePoint permissions and folder structures (preferred).
  • Experience supporting a US-based law firm with strict filing deadlines (preferred).

Responsibilities

  • Take full lead on data ownership within Zoho.
  • Merge client records, create new contacts, and respond to potential client inquiries.
  • Meticulously organize, review, and manage legal documentation.
  • File court documents into the correct client files within SharePoint and OneDrive.
  • Act as a power user of Outlook, Teams, and Excel.
  • Perform essential updates to client files to ensure accurate status tracking.
  • Utilize Adobe and other software to prepare, edit, and organize legal documents.
