Requirements

  • High school diploma or equivalent required.
  • 1+ year of administrative support or related experience in an office or customer service environment.
  • Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
  • Excellent communication skills, both written and verbal, with strong customer service orientation.
  • Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
  • Ability to handle sensitive situations with professionalism, discretion, and conflict resolution skills.
  • Strong time management skills with the ability to prioritize competing tasks effectively.
  • Comfort learning and using new technologies and systems.
  • Ability to work independently while also supporting a collaborative office environment.
  • Multilingual ability is a plus depending on community needs.

Responsibilities

  • Provide front-line administrative and customer support by answering calls, responding to resident inquiries, and resolving or escalating concerns appropriately.
  • Maintain accurate homeowner records, databases, files, mailings, and office supplies to ensure efficient office operations.
  • Support property management with scheduling, reporting, communications, and preparation of newsletters, notices, and website updates.
  • Process and track work orders related to maintenance, landscaping, housekeeping, and other community services.
  • Assist with financial and accounting-related tasks, including receivables review, payment processing, income recording, and resident account inquiries.
  • Support compliance and administrative processes such as ARC requests, lease reviews, and owner approval packages.
  • Help manage community access control requests (fobs, remotes, gate access, etc.).
  • Conduct property inspections and support covenant enforcement activities when required, including documenting and tracking violations.
  • Assist with board meeting preparation and participation as requested by management.
