Requirements
- High school diploma or equivalent required.
- 1+ year of administrative support or related experience in an office or customer service environment.
- Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
- Excellent communication skills, both written and verbal, with strong customer service orientation.
- Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
- Ability to handle sensitive situations with professionalism, discretion, and conflict resolution skills.
- Strong time management skills with the ability to prioritize competing tasks effectively.
- Comfort learning and using new technologies and systems.
- Ability to work independently while also supporting a collaborative office environment.
- Multilingual ability is a plus depending on community needs.
Responsibilities
- Provide front-line administrative and customer support by answering calls, responding to resident inquiries, and resolving or escalating concerns appropriately.
- Maintain accurate homeowner records, databases, files, mailings, and office supplies to ensure efficient office operations.
- Support property management with scheduling, reporting, communications, and preparation of newsletters, notices, and website updates.
- Process and track work orders related to maintenance, landscaping, housekeeping, and other community services.
- Assist with financial and accounting-related tasks, including receivables review, payment processing, income recording, and resident account inquiries.
- Support compliance and administrative processes such as ARC requests, lease reviews, and owner approval packages.
- Help manage community access control requests (fobs, remotes, gate access, etc.).
- Conduct property inspections and support covenant enforcement activities when required, including documenting and tracking violations.
- Assist with board meeting preparation and participation as requested by management.
