Requirements

  • 2+ years of experience in payroll processing
  • Hands-on experience with at least one system: ADP, Paychex, Gusto, QuickBooks Payroll, or BambooHR
  • Intermediate proficiency in Excel or Google Sheets (pivot tables, VLOOKUP, reconciliations)
  • Strong knowledge of U.S. payroll taxes and compliance
  • High attention to detail and accuracy
  • Ability to resolve discrepancies quickly and meet deadlines
  • Comfortable working remote aligned with U.S. time zones

Responsibilities

  • Process bi-weekly, semi-monthly, or monthly payrolls (50–500 employees)
  • Validate time entries, overtime, bonuses, and deductions
  • Run payroll using: ADP, Paychex, Gusto, QuickBooks Payroll, BambooHR
  • Post payroll entries into QuickBooks, NetSuite, or Xero
  • Reconcile payroll clearing accounts and bank statements
  • Prepare and file payroll taxes (federal, state, local)
  • Submit required forms: 941, W-2, 1099, and state equivalents
  • Reconcile healthcare, retirement, and benefit contributions
  • Respond to payroll inquiries (pay stubs, direct deposits, tax updates)
  • Generate payroll and headcount reports for HR and finance
