Requirements
- Experience working in a remote environment with strong time management and organizational skills
- Maintain a professional approach to work, including clear communication, accountability, and reliability
- Ability to follow standard operating procedures with precision and accuracy
- Willingness to collaborate and take on tasks as needed to support the program
- Strong customer service and problem-solving skills
- Technical proficiency with Microsoft Office Suite, Google Suite, and video conferencing tools
- Prior experience in customer service, facilitation, coaching, or teaching
- Emotional intelligence for managing participant interactions
- Proficiency in CRM & LMS Platforms (HubSpot, Zoom, Asana, Eventbrite, Alchemer, Slack) preferred
- Fluency in English (required)
- Proficiency in Spanish (required)
- Must have a quiet, private workspace with a reliable laptop, microphone, and stable internet connection
- Ownership of reliable equipment, including a high-quality microphone and video camera
- Ability to manage multiple responsibilities efficiently and meet deadlines
- Detail-oriented and process-driven, with a focus on continuous improvement
- Ability to adapt to changing needs and take initiative
Responsibilities
- Assist the Program Director in all aspects of program operations
- Manage program communications
- Provide customer support
- Schedule training sessions, meetings, and events
- Support facilitators/training teams by managing schedules and distributing materials
- Moderate virtual meetings and manage Zoom settings
- Track attendance and registration using HubSpot and LMS
- Maintain organized records and reports in HubSpot and LMS
- Develop and update FAQs, troubleshooting guides, and other resources
- Identify and address program inefficiencies and suggest improvements
- Conduct pre-event tech checks for facilitators
- Manage breakout rooms and participant engagement during sessions
- Address technical or logistical concerns during sessions
