  • Comfortable navigating ambiguity, learning on the fly, and solving problems independently

  • Familiarity with AI tools and knowing what to use for which use-case
  • Proficiency with ChatGPT for comms, decision-trees, and creative problem solving
  • Proficiency with Claude for logic-heavy tasks
  • Proficiency with Gemini for media and video content use-cases
  • Proficiency with Perplexity for intelligent research and contextual understanding
  • Ability to craft prompts for efficiency and relevance (Prompt Engineering)
  • Platform Savvy – knowing when to use a CRM vs. an automation tool vs. a communication platform
  • AI Engineering or experience building sales/marketing workflows with AI (highly preferred)
  • Experience with API or Webhook integrations (highly preferred)
  • JSON coding experience or comfort working with low-code/no-code platforms (highly preferred)
  • Project management and process-building know-how (highly preferred)
  • Resource allocation and operations understanding (highly preferred)
  • CRM automations, especially GoHighLevel (highly preferred)
  • Proficiency with GoHighLevel (certified or trained is a huge plus)
  • Experience with N8N, Make.com, Zapier for building workflows and automations
  • Familiarity with Appify, Loveable, Cursor, Windsurf (low-code platforms)
  • Experience with GitHub for version control or team collaboration
  • Proficiency with Slack for internal comms
  • Proficiency with ClickUp for project/task management
  • iPhone (for iMessage syncing) highly preferred
  • HubSpot CRM experience a bonus

Responsibilities

  • Manage all follow-up communications with clients via email, iMessage, WhatsApp, CRM, and Google Messages
  • Own and maintain the CEO’s full calendar, coordinating with clients, internal team members, and partners
  • Manage both Reef’s personal and WeAssist inboxes, triaging emails for urgency and priority
  • Extract and organize action items from sales calls, client meetings, and internal team meetings
  • Enter and maintain contact records, deals, and lead source details, updating lead and deal stages in real time
  • Send follow-up messages to leads Reef meets at events and respond to inbound messages
  • Serve as point of contact for affiliate partners providing client leads
  • After deal closure, send thank-you messages, next-step instructions, contracts, and schedule Kick-Off calls
  • Maintain and update five key sales trackers, prepare monthly sales performance recaps, and attend sales meetings
  • Assist with the creation and refinement of sales contracts, pitch decks, and client materials
  • Book travel arrangements, manage personal admin tasks, and assist with document retrieval and organization
