Requirements
- Bachelor's degree in a relevant field.
- At least four years of experience managing federal communications, executive correspondence, or comparable programs.
- Expert-level writing, editing, and proofreading skills, including command of formal executive and federal correspondence.
- Ability to design and implement standard operating procedures, correspondence tracking systems, and template libraries.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Adobe PDF tools.
- Strong organizational, prioritization, and project coordination skills, including the ability to manage competing deadlines and time-sensitive requests.
- Exceptional attention to detail and commitment to accuracy, consistency, accessibility, and quality.
- Ability to obtain and maintain a favorable Department of Homeland Security Public Trust background suitability determination.
- U.S. citizenship.
- Preferred: experience supporting the Department of Homeland Security or another federal procurement or acquisition office.
- Preferred: project management experience and experience preparing responses or briefing materials for congressional, Government Accountability Office, or other oversight inquiries.
Responsibilities
- Lead program operations and manage daily, weekly, and monthly activities for executive correspondence support services.
- Implement the technical approach, operational work plan, project schedule, and processes needed to meet program objectives.
- Oversee drafting, editing, and refinement of executive letters, emails, memoranda, briefing materials, and other formal communications.
- Serve as the primary government point of contact and coordinate communications activities with executive priorities.
- Review, triage, and prioritize incoming correspondence, escalating urgent and sensitive matters to executive leadership.
- Develop and maintain standard operating procedures, tracking systems, reusable templates, and a correspondence template library.
- Enforce departmental communication guidelines and quality assurance standards; fact-check and proofread deliverables.
- Produce weekly correspondence logs and monthly performance reports.
- Ensure correspondence, memoranda, and briefing materials are prepared within two business days of request.
- Verify deliverables comply with Section 508 accessibility requirements and applicable federal standards.
