Requirements
- Have 5+ years of experience in administrative support, executive assistance, office management, event coordination, operations, or a related role.
- Have exceptional organizational and project management skills.
- Demonstrate strong attention to detail and the ability to manage multiple priorities simultaneously.
- Have excellent written and verbal communication skills.
- Be able to work independently and proactively identify solutions.
- Bring a strong customer service mindset and professional demeanor.
- Be proficient with Google Workspace, including Gmail, Calendar, Docs, Sheets, and Slides.
- Have experience coordinating travel, events, or executive support; this experience is preferred.
- Be able to handle confidential information with discretion.
- Work 10–20 hours per week on a flexible schedule within standard Pacific Time business hours.
- Provide occasional in-person support for local interviews, leadership gatherings, co-working days, and company events in the Lamorinda, Walnut Creek, and Concord areas.
Responsibilities
- Coordinate meetings, scheduling, logistics, and materials across multiple stakeholders.
- Prepare executive travel itineraries, including flights, hotels, ground transportation, meeting schedules, and dining reservations.
- Coordinate onsite candidate interviews in the Lamorinda, Walnut Creek, and Concord areas.
- Plan and support quarterly offsites, local co-working days, leadership gatherings, and regional team events.
- Research and coordinate event venues, accommodations, transportation, catering, activities, vendors, and attendees.
- Track event budgets and expenses, collect receipts, and assist with expense reconciliation and invoice management.
- Research and coordinate travel and conference plans for executives and team members.
- Maintain organizational documents, templates, and resource materials; support onboarding and operational projects.
- Manage swag store vendor relationships and gift card distribution for recognition programs, events, and company initiatives.
