Requirements
- Manage multiple competing priorities with strong organizational skills and systems thinking.
- Use discretion and sound judgment when handling sensitive clinical, business, and personnel information.
- Write clearly and concisely and communicate diplomatically with clinical staff, board members, and external partners.
- Be comfortable using Gmail, Google Calendar, Slack, and cloud-based tools, and learn new platforms quickly.
- Work independently, anticipate needs, and solve problems with minimal direction.
- Bring an interest in learning the business, following industry trends, and understanding clinical context.
- Executive assistant experience is preferred.
- Coordination experience or a background in licensing or credentialing is preferred.
- Familiarity with physician regulatory requirements and licensing workflows is preferred.
- Healthcare, startup, or CMO/executive support experience is preferred.
Responsibilities
- Manage and triage the CMO’s email across Gmail, Slack, and Teams; draft routine responses and escalate sensitive or high-stakes messages.
- Coordinate meeting requests and maintain the CMO’s calendar, including focus time and competing priorities.
- Prepare executive briefings, one-pagers, and summaries for board, investor, and partner meetings.
- Capture meeting decisions and action items, track owners and deadlines, and coordinate follow-up.
- Arrange travel, conference and site visit logistics, and expense reports.
- Maintain records of key relationships with board members, investors, clinical partners, and vendors.
- Coordinate physician licensure documentation with physician groups and the licensure company.
- Liaise with the care coordination team, schedule patient appointments, and escalate urgent cases or scheduling bottlenecks.
- Schedule provider education sessions and coordinate related logistics and participant registration.
- Track CMO initiatives, timelines, action items, and cross-functional dependencies; coordinate team check-ins.
