Requirements

  • Have 2+ years of experience in healthcare operations, provider operations, recruiting coordination, onboarding, payroll or invoice support, HR administration, or executive-assistant or virtual-operations support.
  • Bring strong spreadsheet skills, including maintaining structured trackers, reviewing data, reconciling differences, and identifying missing information.
  • Pay close attention to names, dates, pay periods, visit counts, status fields, and supporting documentation.
  • Write clear, concise, and professional English.
  • Follow up persistently and respectfully with providers and internal teammates.
  • Manage multiple recurring workflows and deadlines simultaneously.
  • Proactively identify blockers, discrepancies, unclear ownership, and overdue action items.
  • Handle confidential provider, recruiting, company, and compensation information appropriately.
  • Be familiar with HIPAA-sensitive healthcare environments and appropriate information-handling practices.
  • Experience supporting clinicians, independent contractors, remote teams, or recurring payroll, payment, or reconciliation workflows is preferred.
  • Experience with Google Sheets, Slack, Ashby or another applicant-tracking system, Healthie or another EHR or practice-management platform, Looker Studio, Stripe, or payroll and payment-reconciliation workflows is a plus.

Responsibilities

  • Maintain accurate candidate records, recruiting statuses, interview schedules, and internal trackers.
  • Follow up with candidates about outstanding steps and coordinate handoffs between recruiting and onboarding.
  • Collect provider onboarding documents, maintain checklists, and confirm operational steps are complete before start dates.
  • Track provider rosters, active and inactive status, state coverage, availability, collaborating-physician relationships, credentialing, payer enrollment, and outstanding items.
  • Communicate with providers through Slack, email, and approved internal systems.
  • Gather provider compensation inputs, review visit counts, no-shows, and late cancellations, and update payroll trackers.
  • Reconcile payroll discrepancies across source systems and escalate unresolved issues before payroll is finalized.
  • Coordinate provider workflows across recruiting, credentialing, clinical operations, billing, finance, and payroll.
  • Document workflows and update SOPs, checklists, and templates as processes evolve.
  • Identify opportunities to simplify, standardize, or automate repetitive administrative work.
