Requirements

  • Have a minimum of three years of experience directly supporting one or more executive team members.
  • Have a minimum of one year of experience in a customer service, logistics, and/or clerical environment.
  • Hold a high school diploma.
  • Bring advanced Microsoft Office skills, including strong knowledge of Excel formulas and excellent PowerPoint skills.
  • Demonstrate strong clerical skills, including typing, filing, copying, and faxing.
  • Have strong organizational, project management, and problem-solving skills, with the ability to multitask.
  • Show attention to detail and the ability to prioritize requests and timelines.
  • Work independently with minimal supervision in a fast-paced office setting.
  • Demonstrate customer service and interpersonal skills and a professional demeanor.
  • Be able to become familiar with company-specific programs and software.
  • Preference is given to candidates with healthcare or managed care organization experience.
  • A bachelor’s degree, preferably in communications, business, or healthcare, is preferred.

Responsibilities

  • Prepare internal and external corporate documents using the Microsoft Office suite.
  • Manage executives’ calendars, meetings, appointments, and travel itineraries.
  • Prepare expense reports and reconcile expenses.
  • Monitor incoming email requests and keep leadership team members apprised of important information.
  • Support executives during regular tasks, including taking notes in meetings.
  • Assist with ad hoc large-scale projects for the Executive Leadership Team.
  • Maintain an organized filing system for electronic documents.
  • Interface with external business partners, including board members, private equity staff, and banking officials.
  • Manage projects and events from planning through delivery, tracking deliverables, requirements, schedules, costs, and meeting plans.
  • Provide administrative-team support and backup scheduling coverage while following confidentiality, HIPAA, and compliance requirements.
