Requirements
- Fluent spoken and written Spanish and English.
- Ideally have 2–5 years of experience as an Insurance CSR, Administrative Assistant, or VA in US commercial insurance.
- Have working knowledge of commercial insurance coverage limits, certificates, quoting, and renewals.
- Communicate clearly and professionally in English email and manage a high-volume inbox.
- Use a warm, patient, and personable phone demeanor, including when calling clients about payments.
- Learn workflows quickly from visual, step-by-step demonstrations and execute repetitive tasks consistently and accurately.
- Demonstrate honesty and transparency, and raise mistakes promptly.
- Familiarity with an agency management system and US carrier or wholesaler quoting portals is preferred.
- Comfort using AI tools is a plus.
- A printer and scanner are highly preferred.
Responsibilities
- Receive scanned client intake forms, verify details, and create or update client records in the agency management system.
- Enter application details into commercial carrier and wholesaler quoting portals, gather missing underwriting details, and process supplemental questionnaires.
- Complete carrier binding workflows, prepare finance agreements, track check deposits and clearance, and issue invoices and payment links.
- Pull pending cancellation reports and make friendly payment reminder calls to help clients avoid policy lapses.
- Issue Certificates of Liability Insurance, prepare building permit certificate packages, add Additional Insured endorsements, and generate Workers' Comp waivers.
- Track upcoming renewals, alert the agency owner, re-engage clients, and shop expiring policies across alternative carriers.
- Manage the shared Gmail inbox, respond to routine client inquiries, and escalate owner-level items.
- Handle forwarded calls in English and Spanish, route appointment requests, and maintain daily contact with the agency owner.
