Requirements

  • Hold a bachelor's degree, diploma, or equivalent professional experience; business administration, human resources, operations, or a related field is preferred.
  • Have experience in operations, HR-adjacent, administrative, coordination, or similar roles involving multiple stakeholders and competing priorities.
  • Have working knowledge of administrative and operational practices in India, including local vendor management, travel arrangements, contracts, and relevant regulatory or compliance considerations.
  • Be able to manage multiple tasks, deadlines, stakeholders, and operational details while maintaining focus.
  • Be proactive and self-directed, able to shift priorities, take initiative, solve problems independently, and work without extensive supervision.
  • Communicate professionally in writing and verbally with candidates, employees, hiring managers, vendors, partners, and external service providers.
  • Be comfortable using HR, operations, project management, scheduling, applicant tracking, and travel tools.
  • Handle confidential HR, vendor, and program information with professionalism, sound judgment, and discretion.
  • Identify process improvements and create scalable systems, including trackers, checklists, documentation, and standardized processes.
  • Be adaptable and willing to take a hands-on approach across operational, administrative, logistical, and coordination activities.

Responsibilities

  • Coordinate interview scheduling, candidate communications, and hiring-manager coordination.
  • Support new-hire onboarding by coordinating documentation, equipment, and access setup.
  • Manage staff travel logistics, including bookings, itineraries, and on-the-ground arrangements.
  • Coordinate venues, vendors, materials, and on-site logistics for workshops, donor meetings, offsites, and other events.
  • Source and manage local vendors and service providers, including contracts and operational arrangements.
  • Oversee office and facilities needs and administer internal tools, access, licenses, subscriptions, and equipment.
  • Maintain and improve operational trackers, checklists, logs, vendor agreements, and program files.
  • Identify operational challenges, coordinate resolutions, and contribute to process improvements.
  • Coordinate among candidates, new hires, consultants, partners, vendors, and cross-functional teams while handling sensitive information discreetly.
