Requirements
- Have 4 to 10 years of virtual assistant or practice management experience in a medical setting.
- Bring experience with psychiatry, mental health, or pediatrics; these areas are strongly preferred.
- Have hands-on experience with electronic health record systems.
- Have SimplePractice experience; this is strongly preferred.
- Be familiar with Practice Fusion, digital fax systems such as Updox, and digital billing platforms.
- Adapt to HIPAA-compliant communication platforms, including Microsoft Teams, Slack, and Google Workspace.
- Adhere to HIPAA standards, privacy laws, and medical-legal boundary guidelines.
- Have professional English fluency; Spanish-speaking ability is preferred.
- Demonstrate emotional composure and tact in sensitive mental health and patient scenarios.
- Work full-time, 40 hours per week, during Central Standard Time working hours.
Responsibilities
- Configure, build out, and maintain the SimplePractice backend.
- Coordinate the transfer of client charts and clinical data from Practice Fusion and paper files to SimplePractice.
- Help consolidate fax, payment processing, and bookkeeping systems into SimplePractice's billing and portal ecosystem.
- Support administrative workflows for the January 1st office move, including provider credentialing addresses, phone systems, and website information.
- Manage professional and personal calendars, continuing medical education travel schedules, and daily appointments.
- Process psychiatric prior authorizations, coordinate prescription refill workflows through the EHR, and organize document backlogs.
- Manage practice emails and secure messages, distinguishing urgent clinical alerts from routine inquiries.
- Serve as a point of contact for patients and families and handle sensitive scenarios with tact.
- Identify and escalate urgent patient risk signals or clinical emergencies to Dr. Wakil under practice protocols.
