Requirements

  • Have 2+ years of U.S. payroll processing experience.
  • Have working knowledge of federal, state, and local payroll tax requirements, including FICA, FUTA, SUTA, and withholding.
  • Have professional experience with a major payroll platform such as Workday, ADP Workforce Now, ADP Streamline/Celergo, or UKG.
  • Be proficient in Excel, including VLOOKUP and pivot tables, for payroll reconciliations and reporting.
  • Have strong attention to detail and accuracy when handling payroll calculations, reconciliations, tax information, and employee data.
  • Have analytical and organizational skills to identify discrepancies and escalate issues appropriately.
  • Be able to collaborate with HR, Legal, Finance, payroll vendors, and senior payroll stakeholders.
  • Handle sensitive payroll information responsibly and follow security protocols and privacy requirements.
  • International payroll experience, particularly working with in-country providers or Employers of Record, is preferred.
  • Experience with One Source Virtual (OSV) or similar payroll service providers is a plus.
  • Comfort using AI-powered tools for payroll validation and reconciliation is preferred.
  • A bachelor’s degree is preferred; equivalent relevant education and experience may be considered.
  • Certified Payroll Professional (CPP) certification or an international payroll equivalent is preferred.

Responsibilities

  • Process semimonthly U.S. payroll across multiple states, including wages, deductions, benefits, and garnishments.
  • Prepare standard federal, state, and local payroll tax filings, including Forms 941, 940, W-2, and W-3.
  • Reconcile payroll tax liabilities against the general ledger.
  • Research routine payroll tax notices and government agency correspondence, escalating complex matters.
  • Support year-end payroll activities, including W-2 preparation and reconciliation.
  • Coordinate payroll processing for employees outside the U.S. with in-country payroll providers.
  • Serve as a point of contact for assigned international payroll vendors and identify discrepancies before payroll disbursement.
  • Process and audit garnishments, levies, and voluntary deductions in accordance with applicable regulations.
  • Partner with HR, Legal, and Finance on multi-state and multi-country payroll matters.
  • Use AI-powered tools and other payroll technologies for payroll validation, reconciliations, and anomaly detection.
