Requirements
- 7+ years of experience in procurement, contract administration, or vendor operations (10+ years preferred).
- Strong contract-reading judgment with ability to spot gaps and risks.
- Knowledge of contracting and procurement requirements across global markets (EMEA, China).
- Hands-on experience with procure-to-pay systems like Zip and Oracle (or similar like Coupa).
- Systems-minded approach to managing the full lifecycle from intake to spend.
- Exceptional organizational skills and attention to detail.
- Legal or contracts-focused background (e.g., paralegal) is preferred.
- Experience working with research teams (UX research, market research, or consumer insights) is preferred.
- Hands-on experience with Airtable, Salesforce, and DocuSign is preferred.
- Proficiency with AI tools and building automations is preferred.
Responsibilities
- Execute contracts from scoping through statement of work, approvals, and kickoff.
- Partner with Finance and research leads on budgeting, spend tracking, quarterly forecasts, and monthly reviews.
- Manage spend requests via Zip and Oracle, including purchase orders, change orders, and invoices.
- Onboard and offboard vendors and tools, ensuring compliance with legal, risk, and privacy requirements.
- Coordinate master service agreements and renewals with Legal and Procurement teams.
- Maintain contract repositories, retainer trackers, and master supplier lists.
- Support vendor evaluation and consolidation, particularly regarding AI tool data-use terms.
- Identify and resolve review bottlenecks, setting clear expectations for research stakeholders.
