Requirements
- At least 2–3 years of experience processing accounts payable or similar finance operations.
- Proficiency with QuickBooks Online.
- Experience with at least one AP or spend management tool such as Bill.com or Brex.
- Proficiency in Excel or Google Sheets for reconciliation and spend analysis.
- Familiarity with general ledger coding, expense classification, and W-9/vendor file hygiene.
- Experience handling corporate credit card programs or expense reconciliation.
- Experience working in a remote or distributed environment with asynchronous communication.
- Ability to communicate clearly and patiently with non-finance team members.
- Experience supporting month-end close activities (preferred).
- Experience using AI tools or accounting automation platforms (preferred).
Responsibilities
- Process invoices end-to-end—intake, coding, routing for approval, and payment runs in Bill.com.
- Reconcile company credit card transactions (Brex) in QuickBooks Online and ensure accurate general ledger coding.
- Respond to payment inquiries from team members and vendors.
- Flag spend anomalies, miscodes, missing approvals, and duplicate invoices.
- Support month-end close activities including balance sheet reconciliation.
- Handle vendor setup, W-9 collection, and vendor file hygiene.
- Contribute to ad-hoc projects such as spend analysis or process documentation.
