Requirements

  • 4–6 years of experience in event program management, employee experience, or a related operations role.
  • Proven experience owning a multi-day offsite or large company event end-to-end for 300+ people, including budget management.
  • Demonstrated ability to source vendors, negotiate contracts, and manage vendor compliance.
  • Proven experience in tracking real-time spend against budgets and reconciling with Finance.
  • Strong organizational skills to manage multiple simultaneous workstreams and deadlines.
  • Clear written and verbal communication skills with the ability to update stakeholders at all levels.
  • Proven judgment in handling sensitive and confidential information.
  • AI fluency with active daily use of tools like Claude, ChatGPT, or Notion AI to optimize workflows.
  • Proficiency in project management tools (e.g., Asana, Jira, Notion, Google Workspace).
  • Ability to work in a fast-paced, proactive startup environment.
  • Willingness to travel (approx. 10-20%) for on-site event execution and venue sourcing.

Responsibilities

  • Own end-to-end logistics for the annual company offsite, including venue sourcing, contracts, travel, and execution.
  • Support department leads by providing budget guidance and logistics templates for team-specific gatherings.
  • Maintain the 'Offsite-in-a-Box' toolkit, including templates and vetted vendor agreements, and act as its steward.
  • Use AI tools to automate coordination tasks like intake triage, vendor comparison, and budget reconciliation.
  • Manage vendor governance, ensuring compliance with legal and insurance requirements.
  • Own recognition, swag fulfillment, and scheduling for company-wide People & Culture initiatives.
  • Partner with the Inclusion & Belonging Council to translate ideas into actionable, budget-conscious events.
  • Measure program impact through attendance, feedback, and engagement survey data.
