Requirements

  • Mid-level to senior experience as an Executive Assistant, preferably supporting executives, business owners, or entrepreneurs.
  • Bachelor's degree preferred.
  • Advanced to fluent English proficiency, both written and verbal.
  • Strong experience with executive calendar management, scheduling, appointment coordination, and inbox management.
  • Excellent written communication skills and the ability to draft clear, polished professional correspondence.
  • Strong organizational and time-management abilities, with exceptional attention to detail.
  • Proven ability to manage multiple priorities and maintain reliable follow-through in a fast-paced environment.
  • Ability to work independently, exercise sound judgment, and make appropriate decisions.
  • Comfortable handling confidential and sensitive business information.
  • Proficiency with Microsoft Office and/or Google Workspace.
  • Real estate experience is highly desirable, particularly within luxury residential real estate.
  • Familiarity with CRM systems or transaction management platforms is an advantage.

Responsibilities

  • Manage and maintain calendars for two principals across multiple commitments, proactively identifying conflicts and recommending solutions.
  • Schedule, reschedule, and coordinate meetings, appointments, and other commitments while ensuring the principals are properly prepared.
  • Track deadlines, follow-ups, outstanding tasks, and important commitments to ensure nothing falls through the cracks.
  • Monitor, organize, and triage executive inboxes, identifying priorities and flagging urgent or sensitive communications.
  • Draft routine email responses and correspondence when appropriate while maintaining a polished, professional tone.
  • Communicate with clients, vendors, partners, service providers, and other third parties on behalf of the principals.
  • Coordinate appointments, requests, and follow-ups and proactively ensure vendors and third parties complete assigned tasks.
  • Prepare, organize, update, and maintain business documents using provided templates while ensuring accuracy and professional formatting.
  • Maintain structured digital files, folders, task lists, and recurring administrative workflows.
  • Identify opportunities to improve organization, streamline workflows, and reduce the administrative workload of the principals.
