Requirements
- 3 to 5 years of experience as an Executive Assistant supporting senior executives.
- Proven experience with complex, shifting calendar and diary management across multiple stakeholders.
- Exceptional organizational skills and attention to detail.
- Strong proficiency in Microsoft 365 (Outlook, Word, Excel, SharePoint).
- Ability to communicate professionally in English on behalf of senior principals.
- Proven ability to work independently and proactively with minimal supervision.
- Comfort balancing competing priorities for two executives simultaneously.
- Availability to work during US business hours.
- Experience with LinkedIn outreach and CRM platforms such as HubSpot (nice to have).
- Background in consulting, professional services, or advisory firms (nice to have).
- Familiarity with contract management workflows (nice to have).
Responsibilities
- Manage complex calendar scheduling, rescheduling, and prioritization across shifting demands and time zones.
- Coordinate internal and external meetings, calls, and appointments end to end.
- Triage and prioritize executive inboxes, drafting and sending communications with appropriate tone.
- Capture meeting notes and follow up on action items to ensure completion.
- Prepare, track, and file agreements including NDAs using SharePoint.
- Maintain CRM records, execute LinkedIn outreach, and support business development activities.
- Book comprehensive travel itineraries including flights, hotels, and ground transport.
- Identify and implement workflow improvements and adopt new tools.
