Requirements
- 3+ years of experience in Operations, Payroll, Finance, HR Operations, Bookkeeping, or Business Administration.
- Experience supporting a U.S.-based company, startup, or distributed remote team.
- Experience processing payroll, contractor payments, client billing, or financial reconciliations.
- Strong spreadsheet skills with exceptional attention to detail.
- Experience using platforms such as Wise, Stripe, QuickBooks, Monday.com, or similar business systems.
- Excellent written English and professional communication skills.
- Proven ability to independently manage recurring deadlines in a fast-paced environment.
- Strong process improvement mindset with experience documenting workflows or building operational systems.
- Bachelor's degree in Business Administration, Accounting, Finance, Human Resources, or a related field.
Responsibilities
- Own the end-to-end payroll process and financial administration, ensuring contractors are paid accurately and on time.
- Prepare and reconcile client invoices, and investigate/resolve billing discrepancies.
- Manage the complete contractor lifecycle, including onboarding, offboarding, and compliance documentation.
- Maintain Monday.com boards, operational trackers, and shared internal documentation.
- Develop and maintain Standard Operating Procedures (SOPs) and operational workflows.
- Identify repetitive tasks and implement automation using tools like Zapier, Make, or AI.
- Conduct scheduled contractor check-ins and serve as the primary point of contact for operational questions.
