Requirements

  • Proven experience as an executive assistant within the luxury travel or hospitality industry
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities effectively
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite
  • Ability to work independently with a proactive approach to problem-solving and decision-making
  • Excellent interpersonal skills with a client-focused attitude and the ability to build strong relationships
  • High level of discretion and confidentiality in handling sensitive information
  • Flexibility to adapt to changing priorities and a fast-paced work environment

Responsibilities

  • Manage and coordinate complex calendars, appointments, and travel arrangements
  • Prepare and edit correspondence, communications, presentations, and other documents including detailed itineraries
  • Coordinate and organize client meetings, ensuring all logistics and materials are handled efficiently
  • Assist in itinerary planning and development to support luxury travel experiences
  • Handle confidential information with discretion and maintain professionalism at all times
  • Act as a liaison between clients and travel advisors as well asthird-party vendors to ensure smooth communication and coordination
  • Monitor and respond to emails and phone calls on behalf of of the company, prioritizing urgent matters
  • Support administrative tasks such as expense reporting, invoice tracking, and database management
