Requirements
- 8 years of experience in Talent Coordination/ Recruitment Operations, ideally within a fast-moving SaaS or tech environment.
- Coordination Excellence: Proven ability to manage complex scheduling and logistics across multiple time zones and stakeholders simultaneously, you may have led projects within HT or talent previously — you run a tight ship.
- Recruitment Operations Know-How: Solid understanding of the end-to-end hiring process and where coordination and admin support makes the biggest difference.
- Sourcing Ability: Comfortable using LinkedIn Recruiter and other sourcing tools to identify and engage candidates — you know how to find people who aren't actively looking.
- Systems Proficiency: Experience working in an ATS (Greenhouse preferred) and HRIS (Workday preferred) — you keep data clean and processes tight.
- Contractor Lifecycle Management: Experience managing contractor onboarding and offboarding, with a good understanding of the compliance and admin steps involved.
- Attention to Detail: You catch what others miss — whether it's an offer letter discrepancy, a missing IT request, or a scheduling conflict.
- Communication & Stakeholder Management: Clear, proactive communicator who builds great relationships with candidates, hiring managers, and cross-functional teams alike.
- Self-Starter: Highly organised, adaptable, and comfortable managing multiple priorities in an agile environment where things move fast.
- Candidate Advocate: You care about every touchpoint — from the first interview invite to the first-day schedule — and ensure it reflects who we are as a business.
Responsibilities
- Support Sourcing: Assist the Talent team with sourcing candidates across a range of roles — building pipelines, running searches, and engaging talent across LinkedIn and other platforms.
- Coordinate Interviews: Own the scheduling of interviews end-to-end, liaising with candidates, hiring managers, and panels to ensure a smooth, timely process with zero errors.
- Manage Onboarding: Lead the coordination of new hire onboarding schedules — ensuring every new joiner has a structured, well-organised first day and first week experience.
- Contractor Onboarding & Offboarding: Own the full lifecycle administration for contractors — from onboarding through to offboarding — ensuring all steps are tracked, completed, and compliant.
- Raise IT & Equipment Requests: Coordinate IT hardware orders and equipment requests for new joiners, working cross-functionally with IT to ensure everything arrives on time.
- Workday Requisition Management: Support the team in getting job requisitions created and maintained accurately in Workday, keeping data clean and up to date.
- Offer Coordination: Assist with the coordination of offers and associated paperwork — working closely with Talent Partners to ensure a smooth, timely close for every candidate.
- Recruitment Admin: Provide general recruitment operations support across the team — keeping ATS records accurate, tracking key milestones, and making sure nothing slips through the cracks.
