Requirements
- Fluency in English and French, both written and spoken.
- At least 5 years of experience in healthcare, such as medical reception, service navigation, intake, or a similar client care role.
- A track record and passion for high-quality customer service.
- Experience nurturing leads into clients and retaining existing clients.
- Training or experience in healthcare customer service, medical administration, or supporting vulnerable populations.
- Experience with therapists or other allied health professionals.
- Proficiency with technology and software for scheduling, communication, and video conferencing.
- Ability to multitask, manage schedules, and troubleshoot technical issues.
- Consistent availability on Saturdays and Sundays, plus midweek evenings until 8 PM Pacific Time.
- A private, quiet, dedicated workspace and reliable internet connection; client calls must be taken in a closed, private space using a headset.
Responsibilities
- Support potential clients through the intake process and set clear expectations.
- Conduct phone or video intake conversations and guide clients toward a suitable therapist.
- Handle email, phone, and live-chat communications with clients, referral partners, and therapists in English and French.
- Coordinate clinic and therapist schedules, monitor the waitlist, and manage appointments.
- Monitor client insurance verification and billing communications.
- Manage video therapy rooms and troubleshoot technical issues.
- Complete shift task queues, inboxes, and daily tracking to provide a clean handoff.
- Provide administrative support to therapists and streamline client care processes.
