Job Details

Have hands-on experience building automations and integrations with Make, Zapier, n8n, Power Automate or comparable platforms.
Be confident working with APIs, webhooks, authentication methods and data mapping.
Have low-code development skills and some scripting experience in JavaScript, Python or a similar language.
Use AI tools such as ChatGPT and Claude fluently, including custom GPTs, projects or AI agents.
Have working knowledge of Microsoft 365 administration, Outlook and email systems.
Have experience with CRM platforms, sales funnels and marketing automation, such as GoHighLevel or ActiveCampaign.
Be able to troubleshoot integrations, identify root causes and implement practical solutions.
Have strong written communication, documentation and process improvement skills.
Be able to work independently, manage competing priorities and own projects from setup through ongoing maintenance.
Disclose existing ongoing roles or client work and reflect the engagement on LinkedIn as an independent contractor.
Desirable: experience with Halaxy, Xero or other practice management and accounting platforms.
Desirable: experience handling sensitive client information and implementing privacy-conscious workflows.

Integrate Halaxy with Microsoft 365, Outlook and Xero using APIs, webhooks and automation platforms.
Build, maintain, test and troubleshoot workflows using Make, Zapier, n8n, Power Automate or similar tools.
Automate emailed referral capture, client contact, referral processing, booking coordination and follow-ups.
Create workflows to identify cancellations and re-engage clients through SMS, email or phone.
Develop automated weekly KPI reports and improve operational metrics reporting for the leadership team.
Configure a central AI workspace, custom GPTs, Claude projects and task-specific AI agents.
Apply access controls, privacy safeguards and human approval processes to sensitive or consequential AI actions.
Build digital products, sales funnels, landing pages, customer journeys and automated marketing sequences.
Provide first-line support for email, website, software and automation issues, and support Microsoft 365 administration.
Document workflows, integrations, troubleshooting steps and system changes; monitor performance and recommend improvements.
