Requirements
- High school diploma or equivalent required; an associate’s or bachelor’s degree is preferred.
- 2+ years of administrative, sales-support, or coordinator experience, ideally supporting an outreach, business development, or provider-facing team.
- Strong written communication skills for drafting professional follow-up emails and corresponding with provider office staff.
- Exceptional organization and follow-through to manage open items across multiple providers.
- High accuracy in data entry and documentation, including identifying and correcting gaps and inconsistencies.
- Comfort learning and working in case-management, CRM, or tracking systems and keeping records current.
- Professional, welcoming phone and email presence with provider office staff.
- Ability to work independently in a remote environment and coordinate across a small team with multiple priorities.
- Healthcare administration, medical office operations, personal injury, or legal services experience is preferred.
- Familiarity with HIPAA, medical records handling, Filevine, or similar legal case-management or CRM platforms is preferred.
Responsibilities
- Send provider materials and follow-up after provider meetings or outreach contacts.
- Create and maintain follow-up cadences, tracking open items, next steps, and owners.
- Request and follow up with provider administrative and front-office teams for outstanding information.
- Escalate relationship, pricing, and policy questions to the Provider Relations team.
- Track received and missing provider information, including contact, office, billing, records-request, location, and specialty details.
- Enter and update provider information in firm systems, including Filevine and the provider tracking tool.
- Maintain provider contact logs and ensure provider and location records are consistently mapped.
- Schedule provider meetings, visits, and follow-up calls; prepare logistics and capture notes and action items.
- Support provider tracking and reporting, maintain current provider materials, and flag data gaps or process issues.
