Requirements

  • Bilingual English and Spanish proficiency is required.
  • Have excellent spoken and written English and communicate confidently and professionally with clients and legal professionals.
  • Previous experience in a legal, professional services, client intake, case management, or similar environment is preferred.
  • Legal Assistant, Paralegal, Legal Intake, or Case Management experience is an advantage.
  • Familiarity with civil litigation or federal civil rights matters is a plus; traditional paralegal experience is not required.
  • Transition effectively between client-facing intake, legal support, administrative tasks, and case documentation.
  • Demonstrate active listening, questioning, critical thinking, and information-gathering skills.
  • Prepare clear, concise summaries, legal memos, and other professional written materials.
  • Maintain accuracy, confidentiality, and discretion when handling sensitive information.
  • Manage multiple responsibilities independently with strong organization and time management.
  • Use or learn Microsoft Outlook, RingCentral, Microsoft SharePoint, Adobe, Adobe Acrobat, and business and document management platforms.

Responsibilities

  • Conduct approximately 5 to 15 initial intake calls with prospective clients each day, generally lasting 20 to 30 minutes.
  • Gather detailed information, ask follow-up questions, identify relevant facts, and recognize circumstances that may require attorney review.
  • Document information accurately and maintain organized, complete, and confidential case records.
  • Return calls and follow up with prospective clients as needed.
  • Prepare concise legal memos, summaries, and other written materials for attorneys and the legal team.
  • Assist with document preparation, editing, formatting, PDF manipulation, and other legal documentation.
  • Organize and maintain case-related information, files, and documentation using document management and business systems.
  • Provide legal and administrative support to attorneys and assist with additional legal projects.
  • Learn and use software, document management platforms, and business systems to support legal operations.
