Requirements
- Have 5+ years of experience in administrative support, program coordination, or a related role.
- Demonstrate high proficiency in Microsoft Office Suite, including Excel pivot tables, lookups, and data formatting, as well as PowerPoint and Word.
- Demonstrate high proficiency in Google Suite, including Sheets, Docs, and Slides.
- Have experience creating reports, presentations, and tracking systems to support growing teams.
- Bring strong organizational and time-management skills and the ability to manage competing priorities.
- Have a customer service mindset and excellent interpersonal skills.
- Be able to travel up to 25% for on-site meetings with clients and internal teams.
- Be available for occasional weekend work based on client needs.
- Fleet maintenance or automotive industry experience is a plus, but not required.
Responsibilities
- Provide administrative and operational support to segment leadership and field teams.
- Prepare and manage reports, spreadsheets, presentations, and dashboards using Microsoft Office and Google Suite.
- Coordinate projects through scheduling, documentation, and status tracking.
- Schedule meetings, organize travel or logistics, and prepare meeting materials.
- Serve as a central contact for internal and external stakeholders and follow up on communications.
- Maintain organized digital and physical filing systems and accurate billing documentation.
- Assist with invoicing, expense tracking, billing approvals, and reporting with finance, AP/AR, operations, and client teams.
- Analyze and consolidate data, identify trends, and present insights.
- Coordinate onboarding and training for new team members.
- Identify process gaps and implement tools or templates to streamline operations.
