Requirements
- A bachelor’s degree is preferred.
- Two years of scheduling experience in an office setting is preferred.
- Knowledge of Microsoft Word, Excel, and internet applications.
- Knowledge of administrative and clerical procedures, including word processing, managing files and records, and designing forms.
- Knowledge of office procedures and terminology.
- Knowledge of English language structure, spelling, composition, and grammar.
- Knowledge of customer and personal service principles, including customer needs assessment, service quality standards, and customer satisfaction evaluation.
- Knowledge of HIPAA regulations for safeguarding patient information.
- Ability to manage time, set priorities, and meet assigned deadlines.
- Ability to occasionally lift and/or move up to 40 pounds.
Responsibilities
- Collaborate with the Scheduling Care Supervisor and Regional Scheduling Manager to apply scheduling guidelines and processes.
- Create client schedule plans and coordinate care based on clinical recommendations.
- Identify and resolve scheduling fill issues, cancellations, conflicts, and EMR errors with supervisor guidance.
- Manage appointment cancellations and arrange substitute coverage or make-up sessions according to Scheduling Equity Guidelines.
- Provide patient and therapist scheduling updates by email or instant communication.
- Identify client demands and scheduling roadblocks, and communicate findings through established channels.
- Process therapist availability and PTO changes after supervisor approval through the Scheduling Helpdesk.
- Place pre-authorizations and submit patient benefits cases for services when needed.
- Handle calls, emails, portal messages, and assigned helpdesk tickets while applying HIPAA guidelines.
- Assist with special projects and administrative tasks, and cover evening shifts or weekends when needed.
