Requirements

  • Have 3–5 years of professional experience in Executive Assistance, Administrative Assistance, Virtual Assistance, Administrative Operations, or a similar role.
  • Bring experience supporting executives, managers, teams, or business operations.
  • Be fluent in English (C1/C2) and Spanish.
  • Have experience with email management, document management, scheduling, data entry, reporting, and administrative coordination.
  • Be proficient with Google Workspace, including Gmail, Calendar, Drive, Docs, and Sheets, and Microsoft Office.
  • Demonstrate strong organizational skills and attention to detail.
  • Be able to prioritize multiple tasks, meet deadlines, and work independently in a remote environment.
  • Have problem-solving skills and adaptability when learning new tools, systems, and processes.
  • Communicate professionally with clients and handle confidential information dependably.
  • Have a quiet home office, stable internet connection (≥10 Mbps download / 2 Mbps upload), and a backup internet connection.
  • A Bachelor’s or Associate’s degree is preferred.

Responsibilities

  • Provide day-to-day administrative and virtual support to clients and their teams.
  • Manage and organize emails, communications, documents, and digital information.
  • Maintain accurate records, databases, and administrative documentation.
  • Organize and manage files using Google Drive and other digital document-management tools.
  • Perform data entry, reporting, and information-management tasks accurately.
  • Support calendar management, scheduling, meeting coordination, and follow-up tasks.
  • Research information, organize findings, and prepare summaries or documentation.
  • Assist with client, vendor, and internal communications.
  • Document processes and help maintain organized workflows and standard operating procedures.
  • Support administrative projects and day-to-day business operations.
