Requirements
- 2–3 years of experience in marketing, executive support, operations, or project coordination.
- Exceptional organizational and project management skills with high attention to detail.
- Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
- Excellent written and verbal communication skills for drafting emails and presentations.
- Proficiency with Google Workspace and Microsoft Office.
- Experience using CRM platforms, project management tools, and reporting dashboards.
- Ability to work independently and collaborate effectively across distributed teams.
- Strong judgment and professionalism when handling confidential executive information.
- Proactive, solutions-oriented mindset with a passion for improving processes.
- Experience supporting sales and marketing executives is a plus.
- Experience coordinating trade shows, sponsorships, or customer events is a plus.
- Experience with HubSpot or building scalable operational processes is a plus.
Responsibilities
- Research and maintain a calendar of industry conferences, trade shows, and speaking opportunities.
- Manage end-to-end conference logistics, including registration, booth setup, travel, and on-site schedules.
- Coordinate speaking abstract submissions, presentation materials, and executive meeting logistics.
- Maintain CRM data hygiene, segment prospect lists, and support campaign attribution reporting.
- Provide executive support including calendar management, travel coordination, and meeting notes.
- Track marketing budgets, manage vendor invoices, and prepare agendas for executive and board meetings.
- Develop and document repeatable processes for campaigns, events, and cross-functional operations.
