Requirements
- Bachelor’s degree in a relevant field (life sciences, business, communications, hospitality management) or equivalent experience.
- 3+ years of conference, meeting, and event management experience in a pharmaceutical, biotech, or life sciences environment.
- Proven track record of independently executing complex, multi-stakeholder events from planning through onsite delivery.
- Experience managing HCP contracting and honoraria processes in compliance with PhRMA Code and OIG fair market value requirements.
- Exceptional written and verbal communication skills.
- Outstanding organizational discipline and attention to detail.
- Ability to manage multiple concurrent workstreams under deadline pressure.
- Sound judgment and decision-making capabilities in fast-moving onsite environments.
- Ability and willingness to travel 10-30% for business needs.
Responsibilities
- Serve as the primary operational lead for Medical Affairs congress activities, focusing on dermatology and rheumatology therapeutic areas.
- Develop detailed project plans, track milestones, and manage run-of-show documents for all congresses.
- Manage end-to-end vendor relationships, contract negotiations, and project deliverables.
- Execute all event logistics, including venue sourcing, housing, transportation, and onsite booth management.
- Conduct post-congress reconciliation, including lessons learned sessions and budget reporting.
- Coordinate logistics for advisory council meetings, including scheduling, materials, and venue setup.
- Manage HCP contracting in partnership with Legal and Compliance teams.
- Maintain financial records, tracking budgets, invoices, and accruals in systems like Coupa.
