Requirements
- Bachelor’s degree in business administration, communications, or a related field (or equivalent combination of education and experience).
- Typically 8 or more years of progressively responsible administrative experience.
- Substantial experience supporting a senior executive or executive leadership team in a global organization.
- Experience in pharmaceutical, biotechnology, healthcare, or other highly regulated environments strongly preferred.
- Demonstrated success managing complex calendars, global travel, and confidential information.
- Advanced proficiency in Microsoft Outlook, Word, PowerPoint, Excel, Teams, and SharePoint.
- Excellent written and verbal English communication, editing, proofreading, and presentation skills.
- Experience coordinating vendors, purchase orders, contracts, and invoices.
- Ability to travel domestically and internationally up to approximately 15%.
- Exceptional discretion, integrity, and judgment.
Responsibilities
- Manage a complex, dynamic calendar for the Chief Regulatory & Safety Officer, balancing enterprise priorities and global time-zone considerations.
- Coordinate recurring and ad hoc leadership team meetings, including agendas, logistics, and material preparation.
- Plan and execute complex domestic and international travel, including itineraries and meeting logistics.
- Reconcile and submit expense reports and manage corporate-card documentation.
- Serve as the first point of contact for stakeholders, handling communications with discretion and professional tone.
- Coordinate purchase requisitions, contracts, invoices, and consultant onboarding.
- Support onboarding and offboarding logistics for GRAPS leadership.
