Requirements
- High school diploma or equivalent.
- 3-4 years experience as an intake specialist or equivalent role managing intake operations.
- Bachelor's degree in Business, Healthcare Administration, HR, or related field (preferred).
- 2+ years experience in intake operations if holding a Bachelor's degree.
- Proven ability to provide excellent customer service and maintain professional communication.
- Experience in autism or ABA service environments (preferred).
- Proficiency in practice management software (CentralReach preferred).
- Proficiency in Excel or reporting tools for monitoring key metrics.
- Experience with continuous improvement initiatives and process streamlining.
- Strong organizational skills with ability to manage shifting priorities and maintain attention to detail.
- Ability to analyze data and solve problems under pressure.
Responsibilities
- Coordinate scheduling of consultations, tours, and assessments.
- Communicate with clients, families, and referral partners regarding appointment details, documentation, and assessment procedures.
- Serve as first-line support for inquiries while routing clinical questions to appropriate staff.
- Collect, review, and organize intake information, historical records, and consent forms.
- Maintain accurate records within the EMR system.
- Track case progress and provide care navigation support for families.
- Analyze operational data to create and implement workflow process enhancements.
- Ensure compliance with HIPAA and privacy standards in all data management activities.
