Requirements
- 4+ years in accounts receivable, billing, or a similar finance operations role.
- Hands-on experience with the HubSpot Commerce platform, including processing subscriptions, payment links, and invoices.
- Proven experience reconciling billing platforms against QuickBooks.
- Comfortable managing high transaction volume in a fast-paced, high-growth environment.
- Strong written and verbal communication skills for client-facing interactions.
- Meticulous attention to detail and strong organizational habits.
- A process-improvement mindset with the ability to spot and fix inefficiencies.
- Available to work full-time on Eastern Time Zone business hours.
- Experience in an agency or subscription/SaaS billing environment (preferred).
- Familiarity with reporting or automation tools like advanced Excel/Sheets or BI dashboards (preferred).
- Exposure to month-end close and collaboration with an accounting team (preferred).
Responsibilities
- Set up and manage recurring subscriptions in HubSpot Commerce.
- Create and send payment links and generate invoices at scale.
- Apply incoming payments and resolve failed or declined transactions.
- Follow up on past-due balances and manage collections.
- Process prorations, credits, refunds, upgrades, downgrades, and one-off charges.
- Reconcile HubSpot Commerce activity against QuickBooks to ensure accuracy.
- Serve as the point of contact for client billing questions, concerns, and disputes.
- Support revenue forecasting and maintain AR reporting, including aging and collections.
- Identify and implement efficiencies and automation for billing and reconciliation processes.
