Requirements

  • 2+ years of experience in event project management, congress planning, medical education, or related roles within pharma, healthcare, or an event agency environment.
  • Strong understanding of pharmaceutical meeting workflows, stakeholder management, and event execution processes.
  • Experience managing projects involving healthcare professionals, key opinion leaders (KOLs), medical societies, and corporate stakeholders.
  • Knowledge of pharma compliance processes, including Commercial, Medical, and Legal Review workflows.
  • Ability to manage complex projects, prioritize competing deadlines, and solve operational challenges effectively.
  • Strong communication and relationship-building skills with a customer-focused mindset.
  • Technical confidence and ability to learn and configure digital event platforms and tools.
  • Ability to translate business needs into practical solutions while balancing compliance and user experience.
  • Fluent in German and English.
  • Willingness to travel frequently, including onsite event support, with approximately 20–40% travel and occasional weekend or out-of-hours availability.

Responsibilities

  • Manage end-to-end delivery of congresses, webinars, advisory boards, medical education programs, and other life sciences events.
  • Build, configure, and launch digital engagement solutions, including web, mobile, portal, video, and AI-powered event experiences.
  • Coordinate closely with customers, healthcare professionals, speakers, field teams, agencies, and internal stakeholders to ensure smooth project execution.
  • Prepare and manage event technology setups, including engagement tracking tools, applications, devices, badge printers, and onsite solutions.
  • Train faculty members, field teams, and event staff while ensuring all participants are fully prepared before live experiences.
  • Support onsite and virtual event operations, troubleshooting issues and maintaining high-quality participant experiences.
  • Analyze event performance data, create reports and dashboards, and provide recommendations to improve future engagements.
  • Build strong client relationships through proactive communication, operational excellence, and a service-oriented approach.
